Gajilon 1.6.0 Release Notes

Live-data dashboards for Admin, HR, and Finance

Attendance & payroll system for companies in Indonesia, with PPh 21 (TER) and BPJS built in.

1. Overview

This release makes the dashboards for all three roles genuinely useful. Figures that used to be placeholders now come from your own company data, and the shortcut buttons open the page they point to.

2. Admin, HR, and Finance dashboards

Each role has its own dashboard, tailored to the work that role does.

What it shows

  • Number of active employees.
  • Attendance for today and for this month.
  • Requests still waiting for approval.
  • The latest payroll summary and the payroll cost trend.
  • Recent activity in the system.

Quick Actions

Shortcut buttons to the pages each role uses most. In earlier versions some of these buttons didn't lead anywhere yet. Now they all work.

Automatic warnings

The dashboard flags things that need follow-up before they turn into problems, for example:

  • employees who don't have a base salary yet (such employees are skipped when payroll is calculated);
  • payroll periods still in draft;
  • server configuration issues.

Leaner sidebar

The documentation block in the sidebar has been removed, so the menus you use every day are quicker to find.


3. User roles

Worth knowing

Attendance, leave, and overtime for HR staff are managed by Admin, so HR never approves its own records. Every approval flow also refuses requests that belong to the person processing them.


4. Employees & access

Managed by Admin.

  • Complete employee records with photo, bank details, NPWP, and BPJS numbers.
  • National ID (NIK) and bank account numbers are stored encrypted.
  • A default password for new employee accounts.
  • Role management: Admin, HR, Finance, Employee.
  • Shift master data and per-employee shift assignment.
  • Tiered Lateness Rules, which can differ per shift.
  • National & Company Holidays, which can be pulled automatically from a public holiday list.

5. Attendance

  • Daily Attendance: status per employee (present, late, permission, sick, leave, absent, holiday), manual entry, and a Mark Absent button for employees who haven't been recorded.
  • Monthly Attendance Summary per employee, with a daily breakdown and CSV export.
  • Attendance Corrections: requests from the mobile app are approved or rejected by HR. Corrections made by HR apply immediately, with the before and after values recorded.
  • Lateness and its deductions are calculated automatically from the shift, including shifts that cross midnight.
  • Admin has two pages: Employee Attendance (view only) and HR Attendance (managing HR staff attendance).

6. Leave & overtime

Leave Requests

  • Leave types: annual, sick, permission, maternity, important reasons, and others.
  • The number of days counts working days only. Weekends and holidays are not counted.
  • The annual leave quota and minimum length-of-service requirement are enforced automatically.
  • Supporting documents (PDF, JPG, PNG) can be attached and are stored privately.
  • Once approved, attendance for the leave dates is filled in automatically.

Overtime Requests

  • The day type (working day or holiday) is detected automatically from the calendar.
  • Limited to 4 hours per working day and 18 hours per week.
  • Overtime pay is calculated according to PP 35/2021.

Reports

A Discipline Report and a Leave & Overtime Report, each exportable to CSV.


7. Payroll

Managed by Finance.

  • Pay Components: allowances and deductions, fixed or variable, calculated per month or per day present.
  • Employee Salary Data: base salary, PTKP status, BPJS membership (Health, Employment, Pension), and per-employee components.
  • Payroll per Period:
    • the flow is: create → calculate → finalise → mark as paid;
    • a finalised period can be reopened as long as it hasn't been marked as paid;
    • salaries are prorated for employees who join or leave mid-month;
    • covers per-day allowances, overtime, lateness and absence deductions, BPJS contributions, and PPh 21.
  • Print-ready Payslips, complete with the company logo and signatory.
  • A Bank Transfer List and payroll register in CSV format.
  • Annual PPh 21 Report, BPJS Report, and Payroll Cost Report with charts, all exportable to CSV.
  • Admin can monitor through the Payroll Report (view only).

8. Settings, audit & maintenance

Managed by Admin.

  • Company Profile: identity, NPWP, logo, payslip signatory, and the mobile clock-in radius (geofence, optional).
  • Audit Logs for Admin and a payroll-specific Audit Trail for Finance:
    • records successful and failed sign-ins, sign-outs, and every addition, change, and deletion of data, with before and after values;
    • sensitive values (passwords, NIK, bank accounts) are masked;
    • can be filtered and exported to CSV.
  • Report Center: download every report from a single page.
  • Maintenance & Version: system information, release notes, and maintenance buttons such as clearing the cache and deleting old audit logs.

Audit logs are kept for 2 years by default. Anything older is removed automatically every day.


9. Employee mobile app

Employees use a mobile app connected to Gajilon. Only accounts linked to an employee record can sign in.

What employees can do

  • See today's shift and clock-in status.
  • Clock in and clock out. When the geofence is on, location is required and must be within the office radius.
  • View attendance history and a monthly summary.
  • Request attendance corrections.
  • Request leave (with attachments), check the annual leave quota and balance, and cancel requests that are still pending.
  • Request overtime and cancel requests that are still pending.
  • View payslips for periods that are finalised or paid.

Worth knowing

  • Clock-in times always come from the server clock, not the phone, so they can't be backdated by changing the device time.
  • Sign-in is limited to 5 failed attempts per minute.
  • An app sign-in session lasts 30 days.

10. Calculation rules

The defaults below can be adjusted to your company's policy during setup.

11. Notes & limitations

  • PPh 21 and BPJS rates and tables follow the regulations as of 2026. Have a tax consultant or your HR team review them before using them for real payroll, and update them whenever the regulations change.
  • THR (religious holiday allowance) and bonuses aren't supported yet.
  • Payslips are printed through the browser's print feature, or saved as PDF from the print dialog. There's no separate PDF download yet.
  • Employees with a base salary of 0 are skipped when payroll is calculated. The dashboard now warns you about these employees.
