Simko 2.5 Release Notes

Multiple properties, one login, and role-based access

Already live on every Simko account.

1. Overview

This release is for managers who run more than one property, and for owners who want to limit what their caretakers or cashiers can open. One Google account can now manage several properties, there's a page that shows all of them at once, and owners can create roles with per-feature access.

Nobody loses access. Every existing manager account keeps the full access it had before, until the owner decides to give it a role.


2. One login for multiple properties

A single manager Gmail address can now hold more than one property, using the same Google sign-in. No more signing out and back in with a different account for each property.

What you can do

  • The account menu at the top right gains a Switch property section when your email holds more than one property. Pick the one you want and the whole app shows that property's data.
  • When you sign in, Simko opens the active property you opened last.
  • Suspended properties appear greyed out and can't be selected.

Worth knowing

  • Additional properties are linked by the Simko team, not from inside the app. Contact us if your email needs to hold another property.
  • Each property still stands on its own. Account labels, the default account, account quotas, and roles are all per property. Revoking someone's access at one property doesn't touch their access at another.
  • Switching only works for the email you proved when signing in with Google. Changing an account's email inside one property does not open a way into another property that uses that email.
  • Owners still cannot add an email that is already in use at any property. The rejection message deliberately doesn't name the other property.

3. Choose property page

An email that holds more than one active property no longer lands straight on one property's dashboard. After signing in, you arrive at Choose property.

What's on the page

  • A large All Properties Dashboard card at the top.
  • One card per property, showing:
    • the property name, its status, and your role there;
    • rooms, tenants, and this month's income;
    • when you last opened it;
    • an Open property dashboard button.
  • For owners: the account allowance (for example Accounts 1 / 3, 2 left) plus Manage accounts and Roles links.

Worth knowing

  • An email with a single property still goes straight to the dashboard, as before.
  • If you sign in again because your session expired mid-task, Simko still returns you to the page you were on, not to Choose property.
  • The summary figures on a card only appear if your role at that property includes the dashboard.
  • You can come back to this page any time from the account menu, under All properties.

4. All Properties Dashboard

A combined summary of every property you hold, on a single page. Open it from Choose property or from the Switch property section of the account menu.

What it shows

  • Total rooms, tenants, complaints, income, expenses, and net income for this month.
  • A per-property breakdown table, including tenants with payments due and furniture due for service, with an Open property link.
  • An income chart per property and combined cash flow for the last 6 months.
  • A combined list of tenants with payments due (top 10).

Worth knowing

  • Each property's figures are calculated exactly the same way as on that property's own dashboard. Compare the two and you'll get identical numbers.
  • This page deliberately doesn't use the property sidebar. The sidebar holds one property's menu, so combined figures underneath it could be mistaken for that property's. The top menu only has Choose property and All Properties Dashboard.
  • Suspended properties are still listed, but their data isn't opened or included in the totals.
  • Properties where your role doesn't include the dashboard aren't shown.
  • There's intentionally no Quick Actions section, since every action always happens inside one specific property.

5. Rename a property

Owners can now rename their property themselves from the Profile page, on the Managed Property card, using the Rename button.

Worth knowing

  • The rename always applies to the property you currently have open. To rename another one, switch to it first.
  • The property's web address doesn't change. Links you've already shared and your WhatsApp connection keep working as usual.
  • The new name is used everywhere straight away: header, sidebar, sign-in page, landing page, report letterhead, and the dashboard greeting.
  • Properties that haven't filled in a company profile now show their property name in the sidebar, report letterhead, and dashboard greeting, instead of "Simko" or a default name.

6. Manage accounts from Choose property

Owners can add, edit, and revoke a property's manager accounts straight from its card on the Choose property page, without switching to it first. This is also where you pick a role for each account (see section 7).

Worth knowing

  • The rules are exactly the same as the Property Manager Accounts card on the Profile page:
    • the number of accounts follows the property's plan quota;
    • the default account stays locked;
    • your own account can't be revoked, have its email changed, or have its role changed;
    • an email already in use at any property is rejected.
  • This page only opens for the owner of that property. A suspended property sends you back to Choose property with a message.
  • The Property Manager Accounts card on Profile is still there, for the property you currently have open.

7. Roles & permissions per property

Owners can now limit what each manager account is allowed to open and do. You do this by creating a role, for example Caretaker or Cashier, and assigning it to the account you choose.

Three terms used here

Property ownerA manager account with no role. Full access, just like before this feature existed. The default account is always an owner.
PermissionA pair of feature and action, for example Rooms — Edit. There are four actions: view, add, edit, delete.
RoleA set of permissions under any name you choose.

Permissions are ready automatically. Simko builds them from every feature active on your property's plan, times the four actions above. You don't need to fill anything in, just choose which ones go into a role. Permission to add, edit, or delete automatically includes permission to view.

How to create a role

  1. Open SETTINGS → Accounts, Roles & Permissions in the sidebar, or the Roles link on a Choose property card.
  2. Go to the Roles tab and click Add role.
  3. Give it a name and description, then tick permissions in the feature × action table.
  4. Save.
  5. Go to the Accounts tab and pick that role for the account you want.

The Permissions tab lists every permission along with how many roles use each one. It's view-only.

What happens to an account with a role

  • Menus it can't view are hidden from the sidebar.
  • Pages it can't open show an access denied message.
  • If the dashboard isn't part of its role, the account is sent straight to the first page it is allowed to open.
  • A save, edit, or delete it isn't allowed to do is cancelled, and a red message appears on the previous page.

Still reserved for owners

Managing accounts, managing roles, viewing the permission list, renaming the property, and opening the Settings window. These can't be granted through a role.

Worth knowing

  • This update doesn't take anyone's access away. Every existing account automatically becomes an owner with full access. New limits only apply once you give an account a role yourself.
  • Roles are per property. Someone can be the owner at property A and only a Caretaker at property B.
  • A role that's still in use can't be deleted. If it could, its members would fall back to being owners with full access. Move those accounts to another role first.
  • If a feature is no longer part of your property's plan, its permissions disappear from every role straight away. When the feature comes back, its permissions are available again but are not automatically added back to the roles that used to have them. Tick them again in the role if you still need them.
  • The same rule applies on Choose property and the All Properties Dashboard: summary figures only appear for properties where your role includes the dashboard.

Not in this release yet: add, edit, and delete buttons inside a page aren't hidden yet for accounts without that permission. The buttons are still visible, but Simko still refuses the action and shows a message.


8. After the update: sign out and back in

If you were already signed in before this update, sign out and sign back in once. The Switch property menu, the Choose property page, and the cross-property pages only appear after you sign in again with Google, because that's when Simko records the email you proved.

You only need to do this once. Later sign-ins work as usual.


9. Questions you might have

Will my caretaker's account suddenly lose access? No. Every existing account keeps full access. Access only becomes limited after you give it a role.

I hold two properties. Why isn't Switch property showing? Sign out and back in with Google (see section 8). If it still isn't there, your second property probably hasn't been linked to your email yet. Contact us.

Can I add a second property to my email myself? Not yet. Additional properties are linked by the Simko team.

Why are some features missing from the permission list? The permission list only contains features active on your property's plan. Features outside the plan can't be granted through a role.

Does any of my existing data change? No. This update only adds new tables and fields. No existing data is overwritten or recalculated.
